Step 1: Lock the Non-Negotiables
Every trip starts with a conversation about what is non-negotiable. For us, that usually means: the dates (are they fixed or flexible?), the travel party (couple, family, group?), and the one thing the trip must include. Maybe it is a specific restaurant reservation, a particular beach, or a cultural event with fixed dates. Step 2: Set a Real Budget
Luxury travel budgets are meaningless if they do not include everything. We set a total-trip budget that covers flights, transfers, accommodation, meals, experiences, shopping, and a contingency buffer of ten to fifteen percent. The most common budgeting mistake we see is allocating heavily for accommodation and then being surprised by the cost of everything else. A week at a top resort in the Maldives might cost 15,000 euros for the room, but meals, spa treatments, excursions, and seaplane transfers can add another 8,000 euros. We use a simple spreadsheet with five categories: getting there, staying, eating, doing, and buffer.
Step 3: Choose Accommodation First
We always book accommodation before flights. Step 4: Build Around It
Once accommodation is locked, we build the rest of the trip around it. This means mapping out the local area, identifying the restaurants we want to try, and understanding the daily rhythm of the destination. In the Maldives, that rhythm revolves around tide times and meal sittings. On the Amalfi Coast, it is about avoiding the midday heat and the tour-bus crowds. In Bali, it is about which days the temples have ceremonies. We create a loose day-by-day outline — not a rigid schedule, but enough structure to ensure we do not miss the things that matter.
Step 5: Book Experiences Early
The best experiences sell out. A hot-air balloon ride over the Masai Mara, a private boat charter along the Amalfi Coast, a Michelin-starred restaurant on a Saturday night — these need to be booked weeks or months in advance. Check visa and passport requirements one more time. Download offline maps and translation apps. Notify your bank about travel dates to avoid card blocks. Screenshot every booking confirmation and save it to a shared folder. Share your itinerary with someone who is not travelling with you.
